Key points

  • Luggage storage. In the unit if it is empty, with reception if your building allows it, or at a left-luggage service nearby. Say which one applies.
  • A message when the unit is ready. This is the real value. Guests do not mind waiting if they know they will be told.
  • Something to do. A café, a mall, the pool if the key card allows it. A tired guest with a plan is a happy guest.

Flights from Europe, the Middle East and Australia land in Bangkok, Kuala Lumpur, Singapore, Bali and Ho Chi Minh City in the early morning. A guest who left Frankfurt at 10 PM steps out of immigration at 6 AM, tired, with bags, nine hours before check-in. The message arrives while you are asleep: "We land at 6. Is early check-in possible?"

Every host in the region gets this question, more in high season. The answer is not hard; the trick is deciding it once, saying it kindly, and never promising what the cleaner cannot deliver. This page covers the policy, the replies, and what changes when an AI front desk answers the 4 AM version.

Why the honest answer is usually "maybe"

Early check-in depends on one thing: did someone sleep in the unit last night? If not, a 10 AM check-in costs you nothing. If yes, the previous guest leaves at 11 AM, the cleaner needs two to three hours, and 3 PM is already tight.

In low season the night before is often empty. In high season it is almost always booked. So the right answer at the moment of the question is usually "I cannot promise, here is what I can do, and I will tell you the moment it is ready."

What you can always offer:

  • Luggage storage. In the unit if it is empty, with reception if your building allows it, or at a left-luggage service nearby. Say which one applies.
  • A message when the unit is ready. This is the real value. Guests do not mind waiting if they know they will be told.
  • Something to do. A café, a mall, the pool if the key card allows it. A tired guest with a plan is a happy guest.
  • A paid early check-in on days when the unit is empty the night before, if you choose to offer it. Keep the price the same for everyone.

What you should not do: say "sure, probably fine" at 4 AM and then discover the night-before booking at 9. The guest arrives at 10 expecting a bed.

Check-in is from 3 PM. If the apartment is free the night before, early check-in is often possible and I will confirm it the day before arrival. If it is not free, you can leave your bags from 9 AM and I will message you as soon as the apartment is ready, which is usually before 3 PM.

At booking, when the guest mentions the flight

Hi Lukas, thanks for booking. I see you land at 6 AM. Check-in is at 3 PM; I will check the day before whether the apartment is free the night before, and if it is, you can come straight from the airport. If not, bags can go to reception from 9 AM and I will message you the moment it is ready.

The day before, unit is empty the night before

Good news, the apartment is free tonight, so you can check in from 9 AM tomorrow. The key card is in the lockbox by the door and I will send the code in the morning.

The day before, unit is occupied the night before

The apartment has a guest checking out tomorrow at 11 AM, so I cannot offer an early check-in this time. Please leave your bags with reception in the lobby, then there is a café next door and a mall ten minutes away. I will message you as soon as the cleaner is done, usually between 1 and 3 PM.

At 4 AM, on arrival day, guest just landed

Hi Mei, welcome to Bangkok. The apartment is still occupied until 11 AM, so it will not be ready before early afternoon. Reception opens at 8 AM and can hold your bags. I will message you the minute it is ready. The cafés on the ground floor open at 7 if you would like somewhere to rest.

Paid early check-in, when you offer it

The apartment is free tonight, so I can offer early check-in from 9 AM for a small fee through the platform. Otherwise bag storage from 9 AM is free and normal check-in is at 3 PM. Let me know which you prefer.

Local details that make the reply better

  • Bangkok: say whether reception is open at 7:30 AM, which is when a 6 AM landing reaches the building.
  • Bali: villa staff can usually receive bags; say when they start, and point guests to breakfast in Canggu or Seminyak.
  • Kuala Lumpur: many condos have a concierge who holds bags; say which counter.
  • Vietnam: District 1 in Ho Chi Minh City has early cafés on every corner; name one.
  • Everywhere: say whether the pool and key card work before check-in. A swim after a night flight is a selling point.

What an AI front desk changes

The 4 AM message costs hosts the most, because the options are to wake up or to leave a tired guest without an answer. Tokay is an AI front desk for short-term rental hosts, built in Bangkok by a host who gets this message every week. It answers guests on Airbnb, Booking.com and Vrbo from your facts, in the guest's own language, at any hour.

The useful shape: the policy (check-in at 3 PM, bags from 9 AM, a message when ready, reception hours, nearby cafés) is written once and Pam, the front desk agent, answers that part at 4 AM in German, Chinese or Russian. The yes or no on an early time depends on the calendar and the cleaner, so most hosts keep that decision on approval: the reply comes to you with a tap to approve, edit or deny. If you approve an early check-in, Sam, the operations agent, updates tomorrow's cleaning brief and reaches the cleaner on LINE, so the cleaner knows the unit must be done by 10, not 3.

Tokay never promises an exception you did not agree to, and if a fact is not on file it asks you rather than guessing. For the first two weeks every reply comes to you first; after that you switch on what may go out alone, one kind of question at a time. On our own apartments this meant every guest answered around the clock and about two taps a day of guest work left. See early check-in requests.

Questions hosts ask

Should I allow early check-in after an overnight flight?

Allow it when the unit was empty the night before and the cleaner has finished; it costs you nothing and guests remember it. When the unit was occupied, offer luggage storage and a message the moment it is ready instead. Never promise a time you cannot control.

Should I charge for early check-in?

Many hosts charge a small fee on days when the unit is free the night before, and offer free bag storage otherwise. Either is fine; the important part is one policy, applied the same way to every guest.

What do I say to a guest who lands at 6 AM and messages from the airport?

Welcome them, say honestly when the unit will be ready, tell them where to leave bags and when reception opens, suggest somewhere to rest, and promise a message the moment the apartment is ready.

Any chance we could check out a bit later tomorrow? Our flight is at 11 PM.

Good news, nobody arrives tomorrow so you can stay until 1 PM at no extra charge. Please leave the key card on the table as usual.
